Project level User Defined Field data is not reloaded if the Portfolio is changed
Status: Reviewed
Version(s): 4.1

Problem: Project level User Defined Field data is not reloaded if the Portfolio is changed
Problem:

Example steps:

  1. Create two portfolios:
Portfolio ‘A’ (e.g. all except sample) has projects Project ‘School’ & ’Test Jan’ in it.                                                            Portfolio ‘B’ (e.g. school) has project ’School’ only: (shown below):

  • Assign a value to a project level ’User Defined Field’ for each of the two projects ‘School’ & ’Test Jan’.

  • Show the project-level User Defined Field field as a column in the projects view layout.
Screen shot showing two projects with Project-level User Defined Fields values:

  • Open Portfolio ‘B’.
    Showing ‘School’ project:

  • Close Project Management. All appears fine so far.

  • Launch Project Manger and select to ‘View Global Data’ (i.e. don’t open any projects; or close the project if it opens initially).

  • The ‘School’ project will be visible and the User Defined Field values for that project will be visible. Again – fine so far:

  •  Now select ‘Portfolio B’ – either: 1) select, File, open and select the portfolio; or 2) select File, select project portfolio…

  • Without opening any projects you can now see ‘School’ & ’Test Jan’ :

  • However, without having opened ’Test Jan’ the project level User Defined Field values will not be visible for this project as it was not in the ‘Starting Portfolio’.

  • This is the issue – the Project-level User Defined Field values are not refreshed when the Portfolio is opened.

  • Fix:

This known problem Project Management may be corrected in a future release.

In the mean time the following workarounds may be implemented:

    A) Close and Re-open the Portfolio:

    1. Select the desired portfolio

    2. Close Project Management

    3. Re-open Project Management

    B) Alternative workaround:

Use the ‘CurrentPortfolio=All Projects’ optional ini file setting.
This means it takes longer to start up as it has to load
all the user defined field data each time.
